Emergency evacuation procedures at Leonardo Hotel Exeter

The talks at Leonardo Hotel Exeter are commonly held in the lower ground conference suites. In the event of a fire emergency, the building lifts cannot be used. Evacuation is via emergency exit routes up sets of stairs, and any attendees who would require additional assistance in case of an evacuation must make this known to hotel reception on arrival.

The hotel has advised that the following fire evacuation process is in place:

"We have a procedure in place where Fire Cards with various roles are assigned to members of the team on site, so they can play a specific role in the safe evacuation of the building, and helping guests (including attendees to events in the Conference suites) to reach the assembly point located in the Triangle Car Park behind the hotel.

One of these cards involves a member of the team “sweeping” the building to advise any guests to evacuate, and this role also includes helping guests/attendees with a disability/mobility impairment to evacuate safely.

For safety reasons we cannot use lifts in case of a fire evacuation, to prevent anyone being trapped in a lift in case of fire. There are 2 sets of stairs from the Basement floor to the Ground Floor, and at the Ground Floor there are 4 exits to the street. We have an evacuation chair on site which the team are trained to use, and can be used to help evacuate guests/attendees via the stairs, if they are unable to use the lifts.

For guests/attendees in our hotel who require extra assistance in case of an evacuation, we would kindly ask that they complete a PEEP (personal emergency evacuation plan) with the Duty Manager, so that the hotel is aware of what assistance is required. This could be done upon arrival, and if they are attending multiple meetings we can retain a copy so it is not required each time, if this would be easier. Attached a copy of the PEEP form for reference.

Please also be advised that other measures we have in place to ensure fire safety include:

  • Fire alarm system in place and tested weekly
  • Trained Fire Marshalls on shift
  • Fire rated doors throughout the hotel
  • Regular fire evacuation drills
  • Mandatory fire training for all team members''
